Pretty soon the school buses will be rolling again. Perhaps they already are in your area. That likely means your childcare business will be busy with school-age children in a variety of before and after school programs.
The thing is, when a large group of children arrive or depart at once, how do you efficiently track their time and attendance? The bus arrives, the children hop off and you need to get the entire bus load checked in, pronto! This can be especially challenging as kids have varied schedules, some arriving earlier and leaving later. Have no fear, Procare is here with a number of easy-to-use child attendance tracking options.
Child Attendance Tracking Basics
The most basic way to record child arrival and departure times is with a simple bus run sheet. You can print them out and have the bus driver or other staff person mark who is being picked up or dropped off.
If you’re already using Procare Software, bus rosters are built right in. You’ll find them under the “Tracking” section in the Family Data module. This makes it easy to automatically print the names of the children assigned to each bus.
If you’re not yet using Procare, print some of our free bus run sheets that come blank, and you can fill in the names yourself.
Childcare Time Cards
Another option is to check children in so hours are automatically recorded on each child’s time card. With time and attendance tracking software there are several options.
- A staff person (teacher or bus driver, etc.) can quickly check all children in or out at once. This can be done at a regular computer or through a check-in screen. See: Let Teachers Check Children In
- If you schedule children in advance, you can use the batch post time card tool to check kids in and out based on their scheduled times for the day. You can even schedule them for both before and after- school time slots.
- You can assign the teacher or bus driver as a pickup person for each child and use the Receptionist Check-In feature to look up the pickup person and quickly check in the appropriate children. See: 3 Time & Attendance Methods for Your Daycare.
Mobile Child Check-In App
Childcare providers who subscribe to the Procare Cloud have access to a host of Procare mobile web applications, allowing them to access child attendance tracking features from any device and location with an internet connection. This simplifies attendance tracking, allowing staff to check students in as they get on or off their assigned bus using a tablet. See: Mobile Apps for Childcare Management
Attendance tracking is necessary at any childcare center. It ensures that every child gets to and from the center or after school program safely. It also helps childcare staff to calculate accurate hourly billing rates, based on when each child arrived and departed. With Procare, there are several simple options to track child attendance, allowing staff to choose the option that best fits in with established processes.

At Procare, we spend a lot of time communicating with those in the daycare field. We have found that a common trend in this community is the need to organize and the track personal and daily information of students to ensure their health, development, and safety. However, most daycare professionals do not have the time to sit down and make dozens of these forms from scratch.
Two of our blog posts that have resonated most with the child care community, were those offering Free Daycare Registration Forms and Free Child Care Sign In Sheets. These forms make sure that daycare instructors have necessary student and family information, attendance records, and knowledge of student whereabouts in a consistent and organized format.
In keeping with that theme of offering free, printable daycare sheets to people in the early childhood field, we’ve decided to also offer free daily bus run sheets.
These are blank forms you can fill in if you offer bus transportation, like a shuttle bus or van transport service, for your child care, daycare, preschool or after school program. This allows instructors to keep track of which bus each child takes, to help ensure they get on the correct bus and safely make it from point A to point B. Enjoy!
Daycare Forms Built Into Procare
These forms are built right into the Procare Software Family Data module, so if you’re already using Procare to help manage your child care business, the forms can be automatically populated with a roster of the children on that bus, as well as the bus run or school name, before being printed.
Download Daily & Weekly Bus Run Sheets
These bus run sheets come in daily and weekly formats that allow instructors to mark the pickup and drop off status of each child listed. For your convenience, these forms are in PDF format.
Daily Bus Run Sheet: The daily bus run sheet gives daycare instructors a form on which to mark the drop off and pickup time of each student taking the bus on a day-to-day basis, with additional space for comments.
Weekly Bus Run Sheet: The weekly bus run sheet gives daycare instructors a form on which to mark the bus they are tracking, and the pickup and drop off of each child on a weekly Monday-Friday basis, with additional space for comments.
Parents trust daycare professionals to be aware of their child’s whereabouts at all times. Offering bus transportation at your center is a great service that many parents need. However, one cannot expect for a child to know which is the correct bus to get on.
For this reason, children must be monitored every step of the way. With consistent and organized daycare forms and bus run sheets, no matter which instructor is in charge of transportation that week they can clearly see the bus or shuttle a child belongs on, and mark their attendance. Having easy access to these forms and other child information is necessary to ensure student health and safety, as well as an organized, high-quality child care program.
